The Business Analytics and Consulting Services Department is the wildfire business analytics, consulting services, and support department within the Professional Service Division. The department serves as the internal consulting and support services center for the company. Staff within this department perform a wide range of business analytics and consulting services including managing large data sets, preparing data queries, mining data, tracking key performance indicators (KPIs), preparing recurring summary reports, authoring client deliverables, performing technical analyses, and responding to internal company work ticket requests with an emphasis on delivering excellence, accuracy, and quality. The department functions under a management structure of project managers, requiring a traditional consulting and professional services perspective and behavior. The Business Analytics and Consulting Services Department provides support to Executive Leadership and Client Relations Management (CRM) teams and other departments within the organization.
The Business Analytics and Consulting Services Department Manager is responsible for directing the activities and workflow of the department. The position is based in our Bozeman office and requires hands-on daily leadership and presence in the office for the direct oversight of 2 to 5 project managers who in turn supervise 8 to 12 technical support staff in the department. The Department Manager will set strategic goals and objectives for the department, monitor work performance to ensure quality requirements of deliverables are met, and cultivate a culture of excellence. This position requires a strong background in professional, business, or technical consulting services, staff management and development, program and project management, data management, and experience in automating processes. If the successful candidate does not have prior experience in wildfire science or the wildfire industry, they must possess a strong motivation to quickly learn wildfire industry and institutional knowledge. This person must be quality oriented and willing to work on a variety of projects. This person must also be a talented, motivated, personable, hard-working, and self-directed leader and team-player.
Duties and Responsibilities
a) Management Responsibilities
i. Manage the Business Analytics and Consulting Services Department and oversee the daily procedures and long-term operations of the department to achieve timely deliverables, quality, and goals.
ii. Manage communications and report directly to the VP of Professional Services to provide awareness of department operations.
iii. Ensure the department team is using company-approved software, and management and productivity tools appropriately.
b) Direct Supervision of Project Managers
i. Provide ongoing feedback and conduct regular performance reviews
ii. Establish management by objectives (MBOs) with the project managers that align with the vital goals of the organization
iii. Advise/coach and manage project managers, promoting professional development and growth towards optimal performance
iv. Address conflicts and employment issues, striving to resolve in a positive manner
v. Determine department-wide scheduling as needed
vi. Manage performance and efficacy of project managers’ work
i. Develop and present effective budget model for the department
ii. Assess staffing needs and create a strategic staffing plan to utilize available budget appropriately to meet departmental goals
iii. Track and manage to the budget on a weekly basis, identifying variances between actual and budgeted financial results
d) Department Strategy
i. Set department goals in alignment with organization goals, mission, and vision
ii. Determine department policies, processes, and initiatives to promote a culture of excellence and quality of deliverables
iii. Design and manage department structure to distribute responsibilities appropriate to current skillsets and determine hiring needs, maintaining a system that will ensure efficient operations.
e) Oversee Data Management, Retrieval, and Reporting
i. Provide oversight of innovative ideas management for increasing the efficiency of departmental data management operations, specifically in the retrieval and presentation of data-related work requests.
f) Projects Management
i. Oversee the process to assemble materials, organize, manage, and administer an internal technical research and reference library. Interface with and build relationships with Universities, technical organizations, etc. in the field of wildfire science and research.
ii. Oversee management of graphic-related projects
(1) Develop a library of photos for use in internal and external presentations and marketing materials. Manage the maintenance of the photo library to keep photo selection current and organized in a manner that allows fast retrieval of desired photos and with proper documentation of meta data.
(2) Assemble, manage, and organize marketing and proposal materials.
(3) Manage update requests to the content and design elements of various company website(s).
(4) Manage other graphic design and presentation material projects.
iii. Manage Other Projects as Assigned: defining scope, planning project timelines, managing budget, selecting effective resources for project teams, communicating with stakeholders at all business levels, managing procurement processes and purchase orders to implement projects, and leading project teams to complete projects on-time and under budget.
g) Work Ticket Product Management
i. Responsible for managing the quality of the outputs of internal company work tickets submitted to the Business Analytics and Consulting Services Department.
ii. Ensure the logic and context of the request by the customer are fully understood and conveyed to the agent assigned to each work ticket
iii. Provide guidance on the best methodology to use to meet the needs of the customer and give instruction to ensure accurate use of data.
iv. Monitor the progress of the work ticket projects towards scope of work specifications and scheduled deadlines.
v. Ensure appropriate and effective QAQC is performed for every work ticket deliverable.
h) Administrative work associated with hiring
i. Identify staffing and hiring needs
ii. Write job descriptions for new positions and internal promotions
iii. Create positions postings for external candidates to attract top talent with appropriate skillsets
iv. Prepare staffing requisitions and manage employee change-of-status processes
This position supervises project managers with direct reports.
i. Education: Bachelor’s degree in Engineering, Environmental Science, Statistics, Computer Science, Natural Sciences, or related field required
ii. Ten (10) years of professional experience in private-sector project management, professional consulting services, engineering, data management, computer science, or relevant industry
iii. Three (3) years of experience in program and/or department-level management
iv. Experience managing multiple projects simultaneously
v. Proficiency with design products, particularly Adobe Creative Suite
vi. Proficiency with Microsoft products, particularly Excel, Word, and PowerPoint
vii. High level of personal responsibility, accountability, and analytical aptitude
viii. Interpersonal skills to meet and communicate effectively (both written and verbal) with executive leadership, managers, and employees
