About The Role

Join our growing bank in our Lewistown, Montana location!  Document Imaging Specialists/Loan Servicing Representatives perform a variety of loan support functions for commercial/ag and consumer loans in accordance with established procedures and policies.  These employees will strive for accuracy and carefulness of work, paying close attention to detail, rechecking and proofing work to ensure a high level of accuracy and quality.  They will have extensive contact with co-workers in multiple locations, vendors, the general public, and bank staff and interact in a professional and courteous manner.


 

DUTIES AND RESPONSIBILITIES:

  • Complete second review audit of all loan and deposit documentation.
  • Ensure all documentation is complete and accurate.
  • Upload and index all documentation into Synergy Capture – bank’s imaging software.
  • Upload and index all documentation into Flexi – bank’s accounts payable software.
  • Move documentation between software platforms as required.
  • Assist with audit and exam documentation requests.
  • Review and maintain required hazard insurance tracking.
  • Assist with periodic reviews for HMDA and CRA source documentation.
  • Perform secondary reviews of scanned files.
  • Process real estate, consumer, agricultural and commercial loans using LaserPro and/or Mortgage software.
  • Assist loan officers by pulling credit reports, UCC lien search, Vehicle Lien Search & floods.
  • Secondary Market loans—balance purchase advices, balance REM Fees Account, pay bills, order appraisals, title commitments, UPS Shipping and monthly report.
  • In-house real estate loans—prepare escrow payments, disbursement, letters, escrow analysis and balance escrow account.
  • Perfect loan collateral by filing UCC and CFS documents.
  • Follow up on vehicle titles.
  • Insurance monitoring and AM Best Rating.
  • Follow up on deeds of trusts and title policies.
  • Organize loan files to ensure all required documents are in order and complete.
  • Prepare reconveyances.
  • Prepare correspondence to loan customers requesting financial information, Credit Authorizations, Inspections, Floor Plans as directed by loan officers.
  • Credit Review and file documents.
  • Pull paid notes and loan documents and release liens.
  • Verify LaserPro Test and LaserPro Live--Upload.
  • Monthly and quarterly reports for GBCI and Board of Directors.
  • Accurately set up all loan files within two days of receiving application from underwriter.
  • Process all applicable loans with necessary documents in order in a timely manner and prepare so they are ready to close within the timeframe allotted by everyone involved.
  • Prepare and review closing documents and assure they are complete, accurate and ready for the title company the day prior to the loan closing.
  • Present Laser Pro documents to loan officers, disburse funds, and forward copies to main office within prescribed time frame.
  • Follow-up on all items for closed loans such as insurance, liens, etc.
  • Process paid-off loans within prescribed time frame.
  • Keep loan officer informed of the status of the loan.


About You

QUALIFICATIONS:

  • High School Diploma or Equivalent
  • Banking experience preferred

 KNOWLEDGE, SKILL, ABILITY:

  • Must have the ability to work in a professional and confidential manner.
  • Excellent organizational and time management skills.
  • Possess a high degree of investigative, analytical skills – be detail orientated.
  • Basic computer skills with working knowledge or word processing, spreadsheets, ten-key, and general computer applications.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Professional verbal and written communication skills.
  • Ability to positively promote our organization to customers and co-workers.
  • Ability to consistently be at work during scheduled shifts.

 

WORK ENVIRONMENT:


Must be able to routinely perform work indoors in climate-controlled shared work area with moderate noise level.
Must be capable of occasional travel (less than 10 days per year) by automobile (as driver and passenger), commercial airlines, rental vehicles and public transportation and be able to lodge in public facilities.

Must be capable of climbing / descending stairs in an emergency situation.

 

Specific lifting abilities required by this job include:  The employee is constantly required to sit, stand and walk.  Exerting up to 25 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force to constantly move objects.   

Specific vision abilities required by this job include: The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation/inspection of machines and/or using measurement devices at distances close to the eyes.
