At the core of any good business is getting the product to the customer, which is integral to the work of sales people. The Sales Administrator will support the sales team in a space between the Sales Manager and individual regional sales people and estimators.

At all times the work will be about building, supporting and maintaining the sales integrity of STS. Most of the time it will be about researching sales and estimating opportunities related to road construction jobs across the country. Work will also include communication and coordination of data entry into a Customer Resource Management System, organization of digital plans, specifications and other pertinent information, and the exchange of information between the sales/project management team and the operations team for fulfillment and execution of sales commitments. There will also be work and coordination with the IT/Software team, particularly on specialized custom jobs. At times it will include ensuring order satisfaction, building and maintaining customer relationships, and coordinating with the operations and finance departments. The work will require excelled communication, interpersonal, research and organizational skills.

Position Overview:

Superior Traffic Services needs a full-time employee to manage administrative elements of its sales process.

Job Description:

  • Performing internet research utilizing provided tools to search for bid/estimating opportunities nationwide.
  • High level dissemination of information to identify good opportunities and assemble pertinent information packages for sales team.
  • Downloading, storing, and organizing digital documents on behalf of sales team.
  • Perform telephone calls to acquire pertinent contact information for potential buds/customers.
  • Development and maintenance of Sales Team Bid Calendar and maintaining high level awareness and knowledge of bids and jobs as they come up and progress through the sales pipeline.
  • Reviewing and proofing bids/estimates for accuracy, applicability, and on-time delivery.
  • Assessing and assigning opportunities amongst sales team, with assistance from Sales Management.
  • Collaborating with other departments, primarily operations, to ensure sales, marketing, and job fulfillments are handled efficiently.
  • Participation in the overall bid process in NetSuite and ensuring salespeople are performing work consistently and using best practices.
  • Assist with contract administration, insurance certificate, submittal, and invoicing process.
  • Handling urgent calls, emails, and messages when salespeople are unavailable, answering customer queries, informing them of delays, arranging delivery dates, and scheduling marketing events.
  • Occasionally responding to complaints from customers and providing after-sales support when requested

Qualified candidates must:

  • Have minimum 3 years in a sales or contract administration role
  • Have a bachelor’s degree
  • Be able to read/understand contracts, specifications, and plans
  • Have computer literacy (Microsoft, NetSuite, Zoom)

Good to Have:

  • Experience with a CRM, NetSuite is preferred
  • Experience with road construction

Working Conditions:

  • Position will work from the headquarters office in Missoula, Montana
  • Weekdays with occasional work outside of typical business hours
