SUMMARY OF JOB DESCRIPTION

The Document Controller Specialist position in the Electric Transmission Drafting and Records Management Department is responsible for the security, storage and retrieval of original drawings, processing/distribution of prints of revised/generated documents to the appropriate personnel and the control and ordering of office materials. This position encompasses but is not limited to the Administration of the Adept EDMS program, a product of Synergis Software. This position also provides support and assistance to the Electric and Gas Transmission Drafting and Engineering Departments including internal departments of NWE and external entities. (Consulting/contracting firms)

DESCRIPTION OF ESSENTIAL FUNCTIONS

  • Ensure all actions are consistent with NorthWestern Energy's values, mission, and strategic business objectives
  • Administration of the Adept EDMS program, ensuring user support, Desktop & Web Client users (internal & external), problem solving, provide support to other internal departments and when needed, seek the assistance of Synergis Software Support
  • Support the needs of the G/Tech system (GIS) when required
  • Responsible for the security, storage and retrieval of original drawings
  • Process assigned projects ensuring quality and quantity of prints generated
  • Process prints/requests for "Walk-up" customers in a courteous, professional, timely and cost effective manner.
  • Generate Drawing Indexes from the Adept EDMS database
  • Inventory and ordering of office supplies for the TD Engineering and Drafting Departments
  • Maintain and order departmental materials
  • Scan manual drawings for archival and retrieval purposes
  • Responsible for the overseeing of scheduled maintenance/training of the HP Pagewide XL 5100 and 5200 Large Format Printer and other office equipment
  • Perform monthly reconciliation accounting (SAP) of prints and plots to recover accrued costs.
  • Update project information in Brightwork as requested
  • Train employees on records management procedures and policies, which include documentation, retention, retrieval, destruction and disaster recovery
  • Assist in the completion of 'As-Built" drawings. (AutoCAD)
  • Work in a team environment

  • Processing Invoices for Engineering and Drafting
  • Time administration
  • Other duties as assigned

GENERAL QUALIFICATIONS

  • Demonstrate and maintain a good safety record
  • High School diploma or equivalent
  • Demonstrated experience with Microsoft Office Package. (Excel, Access, Power Point, etc.)
  • Excellent organizational skills, an independent motivated work ethic
  • Ability to meet deadlines, flexible in multi-tasking
  • Customer orientated experience preferred
  • Strong interpersonal communication skills
  • Must have the ability to acquire general knowledge of NorthWestern Energy policies and procedures including safety requirements
  • Knowledge of SAP a plus
  • Knowledge of AutoCAD a plus
  • Knowledge of GIS a plus
