Job Description

WGM Group is seeking a Project Coordinator to join our dynamic planning and design firm in the vibrant mountain town of Missoula, MT. WGM Group is a comprehensive multi-disciplinary engineering firm including, planning & design, survey, environmental and natural resource management with office locations in Bozeman, Kalispell, Missoula, and Hamilton. This role works closely with the accounting team and with project managers to ensure successful project delivery to clients. The Project Coordinator assists project managers in creating, updating and maintaining the administrative aspects of Project Management Plans (PMP) throughout the project life cycle.  This includes resource management, schedule, budgets, risk management, quality control and proposing improvements for projects. Project Coordinators are also involved in project meetings, client meetings and communications.

Role & Responsibilities:

As an integral player in our growing firm, you will:

  • Prepare standard WGM contracts and subconsultant agreements.
  • Review and prepare non-standard contracts and agreements with CFO approval.
  • Assist with scope development and update throughout project lifecycle.
  • Prepare project budgets and allocate resources using Vantagepoint Resource Planning.
  • Responsible for monthly project invoicing.
  • Monitor project budget, scope, and resource allocation throughout project lifecycle and notify project manager, principal in charge or CFO of project overruns.
  • Track project schedules to ensure timely completion of tasks and on-time deliverables to clients.
  • Maintain project files and databases.
  • Assist with development of internal work products and project deliverables.
  • Facilitate project closeout procedures.
  • Provide QA/QC for documents sent outside the organization.
  • Coordinate and attend client meetings and communicate with clients in a manner that engenders trust.

Qualifications:

As a valued member of our team, you will have at a minimum:

  • An associate degree in business administration, public administration, finance, accounting, a related degree, or an equivalent combination of education and experience.
  • 3 years relevant work experience.
  • Exceptional communication and interpersonal skills.
  • Keen attention to detail and an aptitude for problem-solving.
  • Collaborative working style and team-player attitude.
  • Able to work independently with little supervision. Self-initiative.
  • Excellent computer skills, including experience with Microsoft Office Suite.
  • Demonstrated commitment to client needs and confidentiality.
  • Strong understanding of Project Financial Management understanding.
  • Proficiency in VantagePoint software a plus.
