As an Executive Assistant to the General Manager, you will play a key role in supporting our leadership team, ensuring smooth daily operations, and facilitating communication across departments. Your contributions will be vital to the success of our new Lewistown, Montana location.
Executive Support:
Calendar Management: Oversee the General Manager’s calendar by scheduling meetings, appointments, and speaking engagements, ensuring efficient use of time and prioritization of key activities.
Travel Coordination: Arrange all travel logistics, including domestic and international itineraries, accommodations, and transportation, while exercising discretion in all travel-related decisions.
Liaison Role: Serve as the first point of contact for the General Manager, screening phone calls and visitors, addressing inquiries with tact and diplomacy, and directing matters to appropriate staff for resolution.
Collaboration with the Executive Team:
Interdepartmental Coordination: Facilitate communication between the General Manager and other departments, helping to coordinate projects and meetings to ensure alignment across the organization.
Administrative Support for Meetings: Prepare agendas, materials, and minutes for executive and organizational meetings, ensuring that all necessary information is accurately documented and distributed.
Communication and Document Management:
Confidential Correspondence: Compose and manage routine correspondence on behalf of the GM, ensuring all communication is handled professionally and confidentially.
Document Organization: Maintain efficient electronic and paper filing systems, ensuring that sensitive information is stored securely and is easily retrievable.
Report Preparation: Assist in the development of presentations, reports, and white papers for internal and external audiences, transcribing source material and preparing documents, tables, and charts as needed.
Financial and Administrative Duties:
Expense Management: Prepare, reconcile, and submit expense reports, ensuring accuracy and adherence to company policies.
General Administrative Tasks: Perform a variety of administrative duties such as sorting and triaging mail, handling printing and faxing, and managing email correspondence, while maintaining a high level of organization and attention to detail.
Project Assistance:
Special Projects: Undertake special projects, including the creation of PowerPoint presentations and financial spreadsheets, supporting various departments as needed.
Meeting Attendance: Attend meetings, take detailed notes, and draft initial summaries to keep stakeholders informed of discussions and decisions.
Work Environment:
This position is based in a fast-paced office environment.
While regular travel is not expected, occasional travel may be required for business events and meetings.
The role involves sitting for extended periods, standing, and requires visual acuity, manual dexterity, detailed verbal communication, and proficiency with computer keyboards.
You will work in a manufacturing environment with equipment, robotics, and chemicals. Adherence to required attire/uniforms/clean suits is necessary.
Be prepared to encounter wet surfaces, noise, and moving machines, which require attention to detail and cleanliness.
hold a High School Diploma (or equivalent) and have at least three years of experience in an increasingly responsible position(s) including, but not limited to, office management and/or administrative support for high level executives and organizations.
or a Bachelor’s Degree in related field of study and previous experience as an Executive Assistant preferred.
